We developed a bespoke software system for Family Holiday Association.

CSI Media was honoured to design and develop a bespoke software system for Family Holiday Association, a charity that is dedicated to helping struggling families who are experiencing challenging circumstances to experience breaks, days out or group trips.

The Challenge

The aim was to develop a software solution that supported an application process where personnel in supporting roles (referrers), for example, a teacher, social worker or health visitor, can refer a family for a holiday, short break or ‘day out’.

The system needed to integrate the necessary functionality to provide an efficient and easy-to-use application process for referrers and the team at the Family Holiday Association.


We designed a custom registration form that requests personal information and provides the referrer with the ability to assign themselves to an organisation. Once accepted, referrers can begin to search for holidays via a characteristic search where criteria includes:

  • The number of adults, teenagers, children and infants
  • The type of break that would best suit the family, whether it’s a caravan park, glamping, a seaside, adventure, city or countryside break
  • How the family intends to travel and the duration of the break
  • Whether the family needs a contribution towards travel expenses

If there are available breaks that match the family’s characteristics, referrers are able to make new applications for holidays and short breaks, view the progress of applications, export these applications as a PDF, and see what breaks they have been offered, all via a responsive interface.

Back Office Administration

The team at Family Holiday Association benefit from the following functionality integrated into the Umbraco CMS system:

  • Custom Umbraco Admin Panel for reviewing new registrations with the ability to accept, decline or request more information from referrers.
  • Custom area to review submitted applications, see what products loaded into the system match the family’s characteristics, and send holiday offers to the family.
  • Load suppliers and products into the Umbraco with the ability to mark products as free sell and upload date specific breaks.
  • Send break requests to reservation teams at suppliers (hotels, campsites) for them to accept/decline; this updates the application status.
  • Create eVoucher templates per products which can be sent to families when breaks have been successfully booked.
  • A plethora of tools including custom search screens to search for referrers, applications, suppliers and products, with the ability to export this data as a CSV, a full audit trail on applications, and the ability to see the cost of applications based on the products booked.


Since the platform launched in December 2017, Family Holiday Association have recorded the following usage metrics:

  • Registered almost 3,000 referrers
  • Received 3,200 applications
  • Provided breaks and days out for over 4,000 families across the UK
